    At Harper Edison, we value your privacy as much as your time. This policy outlines how we handle your data with the same care we use for your calls.

    Pre-Launch Privacy Disclaimer

    The privacy policy below describes how we are planning to handle and protect your data once our public launch occurs. Please note that during our current invite-only private alpha phase, not all of the practices described are fully implemented.

    At Harper Edison, we are deeply committed to safeguarding your information. Any data you choose to share with us during this early stage is handled with care and discretion. To deliver and support our services, we rely on a limited number of reputable third-party providers, including ElevenLabs, Amazon AWS, Hubspot, Atlassian, and Google Workspace. In some cases, minimal data you provide may be shared with these partners to facilitate functionality or support operations. Each of these companies maintains its own comprehensive privacy policy, which governs how they protect any data shared with them.

    Until this policy is formally in effect (as indicated by an Effective Date below), we strongly advise you not to share highly sensitive personal information such as credit card numbers, Social Security numbers, or any details you are uncomfortable disclosing.

    This Privacy Policy (“Policy”) explains how Harper Edison Inc. (“Company,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information in connection with our websites, mobile applications, AI-powered communication platforms, and other related services (collectively, the “Service”).

    We are committed to safeguarding your privacy and ensuring transparency about how we handle your personal information.

    1. Scope and Applicability

    This Policy applies to individuals who access or use our Service directly.When we process data on behalf of our enterprise customers, we act as a data processor and that processing is governed by our customer agreements.

    2. Information We Collect

    We collect the following categories of information, depending on how you interact with the Service:

    (a) Information You Provide

    • Contact Information: Name, email address, phone number, billing address, and similar identifiers.
    • Account and Profile Data: Username, password, preferences, and any optional details you add to your profile.
    • Communication and Task Data: Information you provide when you request that we perform tasks on your behalf (such as contacting a business, scheduling appointments, or resolving a customer issue).
    • Audio and Voice Data: Audio recordings, transcripts, or synthesized voice data if you use features such as voice assistants, cloned voices, or AI phone calls.
    • Payment Information: Payment and billing details, processed securely by third-party providers (e.g., Stripe). We do not store full payment card numbers.
    • Verification Data: Identity verification information such as government-issued ID or proof of address when required.
    • Feedback and Correspondence: Messages you send to us, customer support interactions, or survey responses.

    (b) Information Collected Automatically

    • Device and Usage Data: IP address, browser type, device identifiers, operating system, access times, pages visited, and feature usage.
    • Cookies and Similar Technologies: Session identifiers, analytics cookies, and other tools used to operate and improve our Service (see Section 9).
    • Location Information: Approximate location inferred from your IP address.
    • System Logs: Metadata, automation logs, and task execution data generated during service operations.

    (c) Information from Third Parties

    • Authorized Accounts: If you connect third-party accounts (e.g., Google, Apple), we receive information authorized by you.
    • Third-Party Services Contacted: When we act on your behalf (e.g., calling a business or submitting a form), we may collect confirmation messages, reference IDs, or response data.
    • Service Providers and Partners: We may receive information from analytics, infrastructure, or verification vendors.
    • Public Sources: We may reference publicly available data (e.g., company contact info) to fulfill your request.

    3. How We Use Information

    We process your information only as permitted by applicable law, for purposes including:

    4. Call and Voice Data

    If our Service makes or records phone calls or collects voice samples:

    • Purpose: To perform your requested tasks, provide transcripts or summaries, and (if consented) improve our AI models.
    • Storage: Audio and transcripts are stored securely in encrypted form.
    • Retention: Voice data is retained for up to 90 days, or longer if required for legal or quality-assurance purposes.
    • Consent: By using the Service, you authorize us to record and process such calls as permitted by law. You are responsible for notifying other parties where legally required.

    5. Text Messaging and Communications

    Harper Edison may send text messages to users who have explicitly opted in to receive SMS communications.

    SMS Consent

    Users consent to receive text messages by:

    Providing a mobile phone number during account registration or in account settings, and
    Affirmatively indicating consent (for example, by checking a consent box) to receive SMS messages related to their requests or account activity.
    Consent to receive SMS messages is separate from acceptance of this Privacy Policy or our Terms of Service.

    Purpose of Messages
    Text messages are sent only in connection with user-initiated tasks and account-related communications, such as task updates, confirmations, scheduling, or service notifications.

    Harper Edison does not sell or share mobile phone numbers for third-party marketing purposes.

    Message Frequency
    Message frequency varies depending on the nature of the tasks requested by the user.

    Opt-Out and Support
    Users may opt out of SMS communications at any time by replying STOP to any message.
    For assistance, users may reply HELP or contact support at support@harperedison.com.

    Carrier Charges
    Message and data rates may apply depending on the user’s mobile carrier and plan.

    6. How We Share Information

    We may share personal information only as necessary:

    • Service Providers: Cloud storage, analytics, payment, or communication vendors under strict confidentiality.
    • Third Parties You Authorize: Businesses or platforms you instruct us to contact on your behalf.
    • Affiliates: Related entities that support our operations under this Policy.
    • Professional Advisors: Legal, compliance, and audit partners.
    • Business Transfers: In connection with mergers, acquisitions, or financing.
    • Legal Requirements: When required to comply with laws, subpoenas, or government requests.

    We do not engage in cross-context behavioral advertising.

    7. Data Retention

    We retain personal information for as long as it remains useful and relevant to delivering a personalized, efficient, and seamless experience for our users.

    Unlike services that delete data immediately after task completion, our platform securely stores certain information you provide—such as account details, preferences, and data necessary to perform tasks on your behalf—so that future or repeat requests can be completed more efficiently without requiring you to re-enter the same information.

    All retained information is encrypted, access-restricted, and stored using industry-leading security protocols. Users maintain full control over their data at all times: you may review, update, or permanently delete stored information directly from your account settings or by submitting a verified request. When data is deleted, it is removed from all active systems and scheduled for secure erasure from backups in accordance with our data-destruction procedures.

    We periodically review stored data to ensure its continued relevance to the services you use. Information that is no longer necessary for operational, legal, or security purposes is anonymized or permanently deleted.

    Our approach ensures that your data is retained only to enhance your experience—not to exploit it—while giving you transparent, self-service control over its lifespan.

    Voice or task data is generally deleted or anonymized within 90–180 days unless required otherwise by law.

    8. Handling of Personal Health Information (PHI)

    Our Service is not primarily designed to collect, store, or manage protected health information (“PHI”) as defined under the U.S. Health Insurance Portability and Accountability Act of 1996 (“HIPAA”). We do not operate as a covered entity or business associate under HIPAA unless we have entered into a separate written Business Associate Agreement (“BAA”) with a covered healthcare provider or insurer.

    However, users may occasionally provide or authorize the disclosure of information related to their health—such as medical appointments, insurance details, prescriptions, or other health-related matters—when requesting that we complete a task on their behalf. This information may come either directly from the user or from a healthcare provider or other covered entity, provided that the user has executed a valid HIPAA Authorization permitting that provider to share the information with us.     When such information is shared with us, we will:

    • Process it solely for the purpose of fulfilling the specific user-initiated task (for example, scheduling an appointment, confirming coverage, or obtaining documentation).
    • Store it using enhanced security measures, including encryption and strict access controls.
    • Never use PHI for analytics, model-training, marketing, or any secondary purpose beyond the user’s explicit request.
    • Allow users to review, manage, and permanently delete any health-related data retained in their account at any time.

    If you are a healthcare provider or other covered entity seeking to transmit PHI to us on behalf of a patient, please ensure that a valid HIPAA Authorization has been completed and contact us regarding any required Business Associate Agreement.

    9. Your Rights and Choices

    Depending on your location, you may have rights to:

    • Access, correct, or delete your personal data.
    • Withdraw consent or restrict processing.
    • Request data portability.
    • Object to processing based on legitimate interests.
    • Opt out of marketing communications.
    • Close your account at any time.

    You may exercise these rights by contacting privacy@harperedision.com. We may request verification of your identity.

    Residents of certain jurisdictions (e.g., California, the EU, the UK, and India) may have additional rights as provided by local law.

    10. International Data Transfers

    We may transfer your information to servers or service providers located in other countries, including the United States and Europe.
    Where required, we implement appropriate safeguards such as Standard Contractual Clauses or other approved transfer mechanisms.

    11. Cookies and Tracking Technologies

    We and our partners use cookies, pixels, and similar technologies to:

    • Keep you signed in,
    • Measure usage and performance, and
    • Improve our services.

    You can manage cookie preferences through your browser or use “Global Privacy Control” or similar opt-out signals.
    We do not use cookies for cross-site advertising.

    12. Security

    We implement administrative, technical, and physical safeguards to protect your information, including:

    • Encryption in transit and at rest,
    • Access controls and authentication, and
    • Regular security audits and monitoring.

    While we take reasonable precautions, no method of transmission or storage is completely secure.

    13. Children’s Privacy

    Our Service is not intended for individuals under 18 years old, and we do not knowingly collect data from minors.
    If we learn that we have collected information from a child, we will delete it promptly.

    14. Updates to This Policy

    We may update this Policy periodically.
    If we make material changes, we will post the updated Policy and notify you as required by law.
